How do I use CloudStor FileSender?

Access the CloudStor web interface which is available at https://cloudstor.aarnet.edu.au/

Login using the relevant institutional SSO (single sign-on) link or 'CloudStor Hosted Virtual Accounts' if you are a collaboration user. (If you are not sure, reach out to your institutional I.T. support team for assistance, if they are unable to assist, contact our support team at support@aarnet.edu.au)

Once you have logged in select FileSender from the top, black ribbon menu

To upload the items you would like to share either:

  • Use the 'Select Files' button to upload one or more files. (note: holding the SHIFT key whilst selecting files allows you to upload multiple files simultaneously)
  • Use the 'Select Directory' button to upload one or more directories/folders. (note: holding the SHIFT key whilst selecting files allows you to upload multiple directories/folders simultaneously)
  • Drag and drop the files you would like to share onto the document icon as indicated below:

Once the upload of your selected files has completed you will see an indicator showing which files will be shared as in the below:

The following settings can be configured for each FileSender upload:

  • To: (required)
    This should be the email address of the person you would like to share with
  • Subject: (optional)
    Consider setting a subject so the people/person you are sharing with understands what is being shared with them and by whom.
  • Message: (optional)
    Consider including a message so the people/person you are sharing with understands what is being shared with them and by whom.
  • Expiry Date: (optional)
    Consider setting an expiry date; doing so ensures that any sensitive data that may be contained within the shared material is not compromised at a later date
  • File Encryption: (optional)
    Consider encrypting the material you are sharing if it contains sensitive or private data. (note: that because of the computational overhead associated with encrypting and decrypting files we do not recommend encrypting files or directories larger than 4GB, consider splitting such files or directories into smaller separate uploads if encryption is required)
  • Get a link instead of sending to recipients: (optional)
    Generating a link that you can then share with intended recipients may be preferable to sending an email. Consider this option if you would like to share the files using a link via a messaging platform like Slack or Microsoft Teams instead of via email. (note: selecting this will invalidate your settings for To, Subject, and Message)

The following Advanced settings can be configured each FileSender upload:

(note: configuring any advanced settings are optional, by default all advanced settings, excluding Notify me when upload is done, will be turned off)

  • Send me copies of all notifications:
    Will notify you when; link expires, upload is done, and when a download of your link files/directories takes place.
  • Notify me when expired:
    Will notify you when; link expires.
  • Notify me when upload is done:
    Will notify you when; upload is done.
  • Notify me upon downloads:
    Will notify you when ;a download of your link files/directories takes place.
  • Send me daily statisitcs:
    Will send a daily report showing how many times links where accessed and by whom.
  • Send me a report when expire:
    Will send a report showing how many times links where and by whom over the life the share.
  • Include me as a recipient:
    Will forward a copy of the generated share link and notification email to your CloudStor user-associated email address
  • Disable parallel upload (Tick if you are on a slow connection):
    Will change the upload behavior of your browser, selecting this is recommended if you are uploading a large filefrom a location with a  slow (<25mb/s) or intermittent internet connection.

Once you have configured the settings of your share as required select Send:

You will receive a message stating  "Success. Upload complete."
