The Request All My Data feature can be used to create and download a copy of your CloudStor data using CloudStor accessed via a web browser.
Note: You can only request a copy of all your data once.
Prerequisites
- Your account must be set to read-only mode. If your account is not set to read-only, contact your institution's IT group or cloudstor@aarnet.edu.au to set it for you.
- You have at least 1 file in your CloudStor account.
- You have no more than 500,000 files in a single folder.
- You have less than a total of 2 TB of data.
What will be included
Files that you have uploaded or created in CloudStor.
- These will be your files and folders that are shown in the Files tab in CloudStor accessed via a web browser.
What will not be included
- Files and folders in your Deleted files.
- Previous versions of files.
- Files in a group drive.
- Files that are shared with you.
- These files and folders will appear under Shared with you, Shared by link, and Zoom Recordings.
- These files and folders will appear under Shared with you, Shared by link, and Zoom Recordings.
Note: To keep your Zoom recordings and files that have been shared with you, you will need to download them before 15 December 2023.

Request All My Data
- Log in to CloudStor via a web browser.
- Click
Request All My Data in the top navigation bar.
- Check that your Notification Email is correct. Any notifications, including your download link, will go to this email address.
- Click Request All My Data.
Your data will be queued for processing, and the page will refresh to show the status of your request. You can return to this page at any time to see the status.
Due to the large number of requests and variations in data sets, we are unable to provide an accurate timeframe for the completion of your request.
Status detail
- Queued: your request has been submitted and is waiting to be processed.
- Running: your request is currently being processed.
- Failed: your request failed and may need to be resubmitted. We attempt to resolve failed requests as soon as possible. If it is not resolved, email cloudstor@aarnet.edu.au for assistance.
- Ready for download: your request is complete and you can download your data.
- Expired: your download is expired and no longer available to download.
If your request has not completed and you have not received a download link within 3 months, please contact cloudstor@aarnet.edu.au.
Download your data
Your download link will be available for 40 days from the date it is ready for download. There is no limit to how many times your data can be downloaded during this time. After 40 days, the link will expire and you will no longer be able to download your files using this link.
You will receive email reminders when there are 14 days, 7 days and 1 day remaining before your download link expires. You will receive a final email once the link has expired.
Note: if you do not download your files within 40 days, you will not be able to request your data again using the Request All My Data feature. You can still use these tools to download your data from CloudStor.
Notification email
Once processing is complete, you will receive an email with the link to download your data, a password to access the download, and the expiry date.
- Click Download Your Data in your email.
You will be taken to the CloudStor data download portal. - Enter the password from your notification email.
- Click Unlock.
You will be taken to the Download Your CloudStor Data page. - Click Download.
Your files will now download to your specified location on your local machine.
Note: once you enter your password and access the Download Your CloudStor Data page, you will have 30 minutes to start the download. After this time has elapsed, the session will expire and the page will time out. You will need to login again using the above steps to access the Download Your CloudStor Data page. This timer will not affect your download once it has started.
Request All My Data page
You can see the status of your request or download your data when completed on the Request All My Data page on CloudStor.
- Log in to CloudStor via a web browser.
- Click
Request All My Data in the top navigation bar.
- Click Download next to your request.
- You will be taken to the Download Your CloudStor Data page.
- Click Download.
Your files will now download to your specified location on your local machine.
Note: once you click the Download button on the Request All My Data page, you will have 30 minutes to start the download of your data. After this time has elapsed, the session will expire and the page will time out. You can refresh the Request All My Data page to receive a new link to access the Download Your CloudStor Data page. This timer will not affect your download once it has started.
