It is useful to know whether a file or folder that you can see in CloudStor belongs to you or is shared with you by another user or as part of a group drive because:
- Some tools will only allow you to download a copy of your own data, and will not include any data that is shared with you or that is part of a group drive, such as the Request All My Data feature. If you want to download a copy of shared data, you will need to use a different tool.
- You may not want to download shared datasets such as group drive data yourself, as these can be very large in size and can be downloaded by your institution's admin team. This can also limit data duplication so that multiple users aren't downloading the same data.
How to determine file and folder ownership in CloudStor
Shared with you tab
- Log in to CloudStor via a web browser.
- Click the
Shared with you tab in the side navigation panel.
Files and folders here will belong to either:
Group Drives (examples outlined in red): These will start with either p- or CloudStorVHO-. These folders should generally be excluded from any sync or download as they will often be large in size and likely already part of your institution's migration plans. We recommend you check with your IT group or email cloudstor@aarnet.edu.au if you need further assistance.
Individual users (example outlined in blue): These will usually be an email address of the user that has shared the file or folder with you. These can vary in size and you may choose to download if you want to keep a copy. It is unlikely that your institution will include these as part of their migration plan.
Shared folder
All files and folders that are listed in Shared with you should also appear in the Shared folder in your main CloudStor directory.
- Click the
All files tab in the side navigation panel.
- Click the Shared folder.
This list should match what you see in the Shared with you tab.
Exceptions
There was a previous issue where some shared folders may appear outside of the Shared folder, and were incorrectly placed into the main user folder. This issue has since been fixed, however files or folders that were shared before the fix was implemented may still be located in the incorrect location.
- Log in to CloudStor via a web browser.
- Click the
All files tab in the side navigation panel.
The below account is affected by the issue and has shared files and folders outside of the Shared folder.
Shared folder (example outlined in green): This is the folder where shared files and folders should be located for most users.
Files or folders that are shared with you (examples outlined in red): Any files or folders that have theicon followed by p-, CloudStorVHO- or an email address are shared with you by another user or are part of a group drive.
Files or folders that were created or uploaded by you (examples outlined in blue): These files may or may not have theor
