Your Zoom account settings, combined with your organisation’s choice of Zoom recording integrations (eg. Panopto, Kaltura or Echo360) will together determine where your Zoom cloud recordings are stored.
AARNet recommends all Australian based Zoom Administrator ensure their 'Data & Storage' settings (in the Zoom web portal under Account Management / Account Settings / General) are set to Australia. This impacts the storage and processing of;
- Recordings & Whiteboards & Clips & Notes & Docs
- Live Transcripts
This ensures that both the storage of these items, and any post meeting processing that occurs on the recordings such as transcriptions, or AI generated summaries, all happen in Australia.
All users receive an email after the meeting has finished and the recording is available with a link to access or share the recording. If your Zoom Recordings have been integrated with a third party video management system (eg. Panopto or Echo360), the link may be sent from that system, or the recording directly integrated to your LMS in the correct course (if scheduled via Zoom LTI Pro). Those with such integrations to other third-party platforms should contact their institution’s Zoom administrator for more information.
Access Licensed Zoom recordings
If your institution uses the default Zoom Cloud storage, recordings linked to your host account are stored on Zoom Cloud.
- Log in to the Zoom web portal via a web browser.
- Click Recordings in the sidebar.
Your Zoom administrators may have set policies on how long recordings are retained, where they can be accessed from, and if they can be downloaded or only viewed.

Access past On-Prem Zoom recordings (CloudStor)
Between 2015 and 2023, AARNet offered a free service to our member Institutions where Zoom recording were stored in CloudStor. Migration off this service for most organisations was implemented by your local Zoom administrators during 2021 and 2022. In early 2023, access to create new recordings on CloudStor ceased, and as of 15 December, 2023, CloudStor access has been decommissioned. Links to any existing Zoom recordings stored in CloudStor, including those received via notification emails, are no longer functional. Communications throughout 2023 provided further information on how to download old recordings prior to this decommissioning.
